WHAT YOU’LL DO:

Reporting to the China Office Manager, working closely with Optiver people, you’ll be performing general administrative duties including:

  • Acting as an independent travel advisor and organizing business related travel logistics and accommodation for office employees and incoming visitors

  • Supporting on inbound & outbound overseas expats’ immigration application, relocation process and visa annual renew

  • Being responsible of office environment routine maintenance and improvement

  • Processing office expenses payment requests in finance system i.e. expense list screening, fapiao collecting, payment request submission

  • Involving organizing office catering service i.e. menu design, onsite operations, food quality communication

  • Being responsible of purchasing and monitoring office supplies inventory. Managing vendors and performing their annual KPI review

  • Cooperating on cross functional requests and assignments i.e. offsite meetings, talent recruiting tour, external visitor office tours etc.

  • Providing administrative support to senior managers in an effective and efficient manner

  • Involving in organizing company activities including gym and sports membership, team building, annual trip, Christmas party, family day etc.

  • Performing Work Environment Health & Safety criteria. Closely follow up COVID regions updates, restriction, and policy

  • Acting as backup of company entrance control at reception, responsibility includes visitors’ health code and hygiene check, answering calls and requests from external parties, receiving, and sorting all incoming mail and parcels

  • Taking extra responsibility as required and able to drive improvement

WHO YOU ARE:

  • At least 4 years’ administration relevant work experience in multinational companies, overseas experience is a plus

  • Enjoy fast pace working environment, has passion and willingness to develop in office management domain

  • Professional and effective communication skills in both Mandarin and English

  • Ability to work independently and take initiative to define and resolve problems

  • Details and efficiency oriented, open minded to feedbacks

  • With integrity and mindset to safeguard company resources
