Provision Specialist

At Optiver, employee safety, comfort, and happiness is central to our mission. Optiver’s Chicago office proudly offers delicious snacks and beverages along with many other amenities throughout our 75,000 square foot space in The Loop. The Office Operations team is looking for a Provision Specialist to handle stocking, inventory, and ordering of all products for our pantries, supply hubs, and amenity spaces. The Provision Specialist will also receive all shipments into the office and arrange outgoing shipments for Business Operations teams. We’re looking for a creative problem solver with an enthusiasm for hospitality to join our organized and process-driven team.

What you’ll do:

  • Maintain clean, attractive and abundant displays in all employee-facing food, beverage, and supply areas (including first aid kits and copy rooms); restock and rotate product as needed throughout the business day
  • Ensure display offerings support demand; reconfigure as tastes and headcount fluctuate
  • Receive, unpack, inspect, and put away orders upon arrival, observing best-by dates and proper product rotation
  • Pursue credit on damaged, shorted, or lost product
  • Receive, log, and distribute parcels addressed to other Optiver teams
  • Maintain the receiving area, backstock rooms, shipping closet, and stock carts in a tidy and accessible manner
  • Complete weekly product and supply inventory, updating stock levels in our inventory management system
  • Place weekly supply orders with multiple vendors to support product consumption + backstock
  • Locate alternate suppliers or substitute items when product is shorted or unavailable through the typical source
  • Day-to-day contact with external provision vendors
  • Assist with monthly credit card and lease statement reconciliation
  • Support company events and meetings as-needed by sourcing supplies, setting up food and beverage spreads
  • Communicate product shortages and critical updates to the Office Ops team daily
  • Handle all outgoing parcel shipments for Business Operations teams; administer the Fedex business account for all Optiver teams
  • Support other members of the Office Operations team with coverage and cross-training

What you’ll need:

  • High school diploma or equivalent
  • Customer-facing retail or catering experience is a plus
  • Proficiency with Outlook and confidence with Microsoft Suite required (specifically Excel)
  • Familiarity with Atlassian products (Wiki, JIRA) and other ticketing systems (Angus, Workspeed) preferred; ability to quickly learn and use new technology
  • Must be highly adaptable, able to prioritize multiple demands, while maintaining an enthusiastic and helpful attitude
  • Physical requirements: lift 50 lbs, push and pull carts, bend, stoop, and stock items above shoulder height (with or without the aid of a step stool)
