Office Administrator

Optiver’s Office Operations team is seeking a customer-centric individual with a history of strong organization skills in a fast-paced environment. The Office Administrator will not only oversee reception duties, but assist the team in ensuring that our employees are safe, happy, and comfortable. This position is expected to work on-site.

What you’ll do

  • Autonomously run reception duties, including answering phones and greeting visitors/vendors and interview candidates, recordkeeping
  • Maintain a professional and welcoming environment in reception area, copy rooms, and conference rooms
  • Be an oracle of knowledge – respond to requests via multiple platforms (Outlook, JIRA, Slack, phone) and provide first-class customer service to employees and guests
  • Keep our team organized by developing internal Wiki pages, creating JIRA tickets, and following up on outstanding projects/tasks
  • Own security systems administration including programming and revoking access badges, liaising with building security, security camera monitoring and footage review, data entry and reporting
  • Utilize multiple carriers for incoming/outgoing shipments ranging in size from paper documents to multi-piece computer equipment and communicating shipment information accordingly
  • Assist with employee onboarding and off-boarding
  • Wear multiple hats – provide ad-hoc support for the Office Operations team and collaborative efforts as a firm

Skills and Qualifications

  • High school degree or equivalent
  • 3-5 years in a multitasked, face-paced environment, 2+ years of administrative experience preferred
  • Proficiency with Outlook and confidence with Microsoft Suite required (specifically Excel)
  • Familiarity with Atlassian products (Wiki, Jira) and other ticketing systems (Angus, Workspeed) preferred
  • Local to the Chicagoland area, experience in the fintech industry is preferred
  • High level of professionalism with experience working with external and internal customers
  • Strong resiliency to competing priorities and uncompromising focus on quality
  • Ability to communicate with different audiences, both written and verbal
  • Thrive in ambiguity and be adaptable as situations require
  • Superb organizational skills, attention to detail and accuracy
  • Have a roll-up-your-sleeves attitude – no task is too small
